You no longer need to store paper invoices and go to the tax authority to settle your taxes. Thanks to the e-invoice, it has now become easy and transparent to create, send, and manage your invoices online. 

In the following article, we will go through all the steps needed to register in the e-invoice system.

What is barcode generation in the e-invoice system?

Barcode generation is crucial for issuing e-invoices. Simply put, it involves designating a special internationally recognized barcode for each product.

The Egyptian Tax Authority (ETA) has approved two types of barcodes for the e-invoice system. You can choose between them based on your needs.

Types of barcodes for e-invoices

  1. Internal Egyptian code generation (EGS)
  2. Global code generation (GS1)

What is EGS?

The internal Egyptian code generation system (EGS) is an Egyptian system adopted by the ETA for business owners. It consists of EG, the company’s tax registration number, and company’s internal classification code.

For example, a local Egyptian company’s EGS code would look like this: 

EG-123456789-150

EGS codes should be linked to the Global Product Classification (GPC) system to comply with the credibility and reliability standards required for registration on the ETA’s website.

What is the GPC code generation system?

GPC is a global code that enables the classification of products and services with a unique code to facilitate trade and commercial transactions across the globe. It is a product of GS1 Global.

The GPC code generation system categorizes products using four levels of classification: segment, family, class, and brick.

  • A segment is an industry sector. E.g.: Food and beverage, tobacco, etc.
  • A family is a broad division of a segment. E.g. milk, butter, yogurt, cheese, etc.
  • A class is a group of similar categories. E.g. milk and milk substitutes.
  • A brick is a category of similar products. E.g. milk.

How to generate GPC codes using the GPC Browser?

This is a frequently asked question by our clients.

First, visit the GPC Browser and follow these steps:

  1. Enter the segment name in the search bar.
  2. Scroll down in the results and choose the segment that best fits your product. E.g. Segment 50000000 Food/Beverage
  3. Under the selected segment, scroll to find the family that best fits your product. E.g. Family 50180000 Bread/Bakery Products
  4. Choose the class and the brick similarly.
  5. Select the brick code, which you can use to link to your internal code to generate EGS codes.
  6. The brick code starts with 1000, and you can verify that it is the right code by clicking the arrow next to it to read the product definition and compare it to your product.

Please note: The GPC Browser supports multiple languages but does not support Arabic at this time. You can use English instead.

Please note that when you receive GPC codes, you should link them to your company’s internal code and tax registration code, adding “EG” before them.

What is the internal code?

The internal code generation system is used for products and services provided by your company. 

Such codes are generated by you or a specialist team and cannot be used outside the organization, as they are created manually or by using a special program. The internal code generation system includes only your products and uses the following methods:

  • Using initials of the product or service
  • Adding symbols from the identity of the company or the brand
  • Using both alphabets and numbers
  • Other methods adopted by companies

Internal codes are not recognized by the ETA, so you must link them to the GPC global codes through the steps mentioned above.

This type of code generation is free but requires additional effort from your company, along with a waiting period of up to 15 days to know the status of the codes you registered with the ETA.

Whether they are accepted, rejected, or under review.

To save time and effort, you can opt for the second globally approved code generation method that is automatically accepted by the ETA: GS1 codes.

How to align the GPC code with the internal EGS code in the ETA?

You must link the internal code of the items to a recognized global code (the GPC code) if you want to proceed with the free method and wait for approval from the ETA.

Steps to link the GPC code with the EGS code in the e-invoice system:

  1. Log in to your account at the ETA.
  2. Choose “Codes.”
  3. Select “EGS code generation standard.”
  4. Click “Register a new code.”
  5. Fill in the required information to add the code.
  6. Enter the GPC code for your product or service in the GPC-related item box.
  7. Click “Request Approval.”

What is the GS1 global code generation system?

It is a global code generation system that provides you with a distinctive code called the Global Trade Item Number (GTIN).

Are GS1 codes (GTINs) free? 

No, they are not free. You can buy the codes from our company, with different pricing packages depending on the number of products you want to generate codes for. An annual renewal fee is required to continue with the same global codes, which ensures immediate acceptance by the ETA, saving you time and effort.

How can I get GS1 codes?

Follow these steps to get your distinctive global GS1 codes to use in e-invoices or even any online transactions, such as e-commerce. 

Here are the steps:

  1. Visit the pricing page and choose a package based on the number of products you want to generate barcodes for. Then click ‘Subscribe.’
  2. If you are a new user, you will need to add more information to create an account and subscribe to a package. 
  3. Once you have selected a package, you should follow the steps on the screen to complete your subscription and get your GS1 GTIN codes.
